JPAS/e-QIP Tips

 

Please note that these tips are submitted by NCMS members and are not validated by JPAS or DSS.  Use at your discretion.


DSS Tips for Faxing Signature Pages

1.  Preferred method is to scan and attach the 3 signature pages to the e-QIP submission.  That way, you will be able to see and verify that they are attached.  They will flow to JPAS and on to OPM.

2.  If you don’t have the capability to scan and attach, then fax the original signed forms to the JPAS fax server following the below rules:

DO
    a. Print out the 3 new release forms from the subject’s e-QIP submission - Certification of SF 86 (CER), Authorization for Release of Information (REL), and Authorization for Release of Medical Information (MEL).

    b. Have member sign and date the forms.
    c. Fax the forms to 1-866-804-0686. You can transmit all 3 forms in the same transmission.
DO NOT
    a. Do not send a fax cover sheet.
    b. Do not send anything other than the 3 "new" release forms (e.g., do not send in previous editions of release forms; do not send any additional correspondence).

    c. Do not write on the signature forms except for the required information - signature/date - do not use stamps of any kind.

    d. Do not fax a fax of a fax...fax only the original signed release forms. Double and triple faxed forms cannot be read by the OCR.

     e. Do not forget to date the forms - forms without dates will be rejected by OPM.
     f. Do not use a fax machine that adds streak lines or other marks on the fax.  If your incoming faxes are blurred or contain extraneous marks/lines, do not use that fax to fax in your release forms.

    g. Do not use the originally signed release forms if you revise the PSQ.  A revised PSQ will have a new ID number and the release forms must have the same ID number. You must print out new release forms.

    h. Do not send a fax that is crumbled, edges folded, or is unreadable.

Accidentally Upload Wrong Cert or Release

If you have accidentally uploaded a wrong certification or release to an e-QIP, there is no way to "undo".

To fix: Just fax the correct form to OPM at 1-866-804-0686 and they will match with e-QIP file.

Out of Synch Issues

For those who have "out of synch" issues with initiated clearances, this is what has worked for me:

I had 2 eQIPs that I could not review.  Got the notification that JPAS/eQIP had "out of synch" issues.  Called JPAS and they didn’t have a fix or suggestion.

I stopped the PSI, then started it over as brand new (not Resume PSQ), had the subject reenter his Privacy Info (Sections 16 – 30) and the file was accepted.

How to Delete an Erroneous Category

This is how you can delete a category that either you inadvertently saved or saved as a wrong category (i.e. should be consultant instead of contractor, vise versa), or you come across an obvious invalid entry such as a blank category.

  1. Go to person’s Add/Modify screen.
  2. Highlight/select erroneous category and click MODIFY ORGANIZATION.
  3. Highlight/select your organization at the top of the screen, click REMOVE, click OK.
  4. Enter in a separation date of over 2 years and select INVALID ENTRY as the separation code, click SAVE.

This category will now not appear in the JCAVS.

How to get "Unhung"

If you have clicked on something in JPAS and are waiting for the information to load and it seems to take forever, you can do the following to get "unhung" without getting locked out:

1.    Click the Refresh icon in your Navigation Toolbar.

2.    You will see the following message:

3.    Click Retry.

4.    You will be able to continue your task.
